Job Description

Your Job:As the Temp Office Administrator you will oversee and manage day-to-day office operations and facility to ensure reasonable cost and effective administrative services. Basic Responsibilities:- Oversee all aspects of general office and facility operations;- Deliver day-to-day office services to Brooks Team employees including but not limited to business trips arrangements (business visas, air tickets, etc), mails/ correspondences, meetings to ensure these arrangements are proceeded timely and properly;- Provide general support for Visitors such as Visa invitations, accommodations, local transportations, etc;- Managing the office carpool, car bookings, driver’s performance and working with car rental vendor to improve car service quality; - Keep stock and order office supplies to meet team’s requirements within approved budget;- Carry out annual vendors’ evaluation to ensure all office services are in good quality and provide excellent service at reasonable cost, create a corporate vendor list for frequent services such as: hotels, air tickets, visas, car rental, stationeries;- Assist on the organization of office events, team events, off-sites, etc to build the Office culture and Team engagement.- Monitor costs and expenses and maintain a filing system to provide data for budget planning for office expenses;- Collect, review services’ bills information, request for adjustment if that is necessary, make payment request, carry out required internal process appropriately, liaise with HQ Finance/Accounts team to ensure that all items are invoiced, paid on time;- Support on document filing for work permits/ resident visas when necessary. Provide support as needed during the relocation of expatriate assignees to host country (home search, air tickets, transportation, shipment of belongings etc). - Other tasks as assigned Requirements- College diploma or equivalent certificates.- Minimum 1-2 years’ experience in general admin operations in a multinational working environment- Fluent in both English speaking and writing.- Realiable, dyamic and open minded.- Strong organizational and planning skills in a fast-paced environment- Excellent communication, strong but thoughtful, team player and detail oriented- Proficient in PowerPoint, Excel, Word.
